WELCOME TO THE 6TH ANNUAL SYNOPSYS ALAMEDA COUNTY SCIENCE & ENGINEERING FAIR

This site "zfairs" is used for the fair's registration and application process for students, teachers, lab mentors and parents.

2/27/17 - IMPORTANT ANNOUNCEMENT:

Registered students may now upload their Abstracts to their dashboard.

Instructions:

Directions for: Registration 

1. Open the REGISTER tab above in the menu bar and the drop down menu to register as a student.

2. Follow the prompts to input information.

3. You’ll need your parent/guardian email address and they need to be present to help with payment of the registration processing fee - $20 per person.

Use the drop down menu.  *If your school is Title 1 select Government fee waiver.  If the fee will create a hardship ask your teacher or school principal to email us requesting the waiver.

4. The next screen will ask you to create a new project or join an existing team.

** Students individual doing the project alone should select Create a New Project.

**Directions for TEAMS - One member of the team should be the first to register and will select  Create a New Project.    AFTER the original team member is finished he/she will get an email with the Project ID. SAVE this email - SEND Project ID, Project Title, selected Category to your TEAM members!!

   Added Team members will select “Join and Existing Team. When prompted type in the PROJECT ID.

5. Continue through the prompts.  If your science teacher does not appear in the drop down menu for your school, then type the name and email if you know it.

6. When you are finished registering you will get an email with your Project ID - save this email you will need it at the science fair.

Directions for: Application packet and Uploading Application Packet:

1. Obtain the application packet that most closely fits your project type from this link http://acsef.org/students.html

2. Print the entire application packet. ONE application per project -  

IF YOU ARE MEMBERS OF A TEAM - make extra copies of these 3 forms: Form 1B, Student Permission/Hold Harmless Agreement, and Media Release - so EACH member of a team completes EACH of these 3 forms required for participation and competition.

3. Form 1C appears in the application packet.  Unless your project WAS completed at a college/university or professional research lab you can omit this form.  

If your project WAS completed at a college/university/research lab then the adult who actually was in charge of you at their facility will complete this form and provide a copy to you.

4. Once all the application forms are complete, signed dated etc. and you have included a TYPED research plan/materials list:

a. Put all forms together in this order: Typed Research Plan/Materials List, Form 1B (if on a team put all Form 1B's together), Student Permission/Hold Harmless Agreement (if on a team put all Hold Harmless agreements together), Media Release (if on a team put all Media Release forms together) go at the front of the application followed by all other completed forms that are in the various types of application packets.

b. Scan the entire packet as ONE file. Do not scan single individual pages of the application!!!  (do not take photos of each page and upload....our system causes these to be blacked out on our screen so we can't view them) Scanned, pdf files only!

c. SAVE in PDF format

d. Log into your dashboard.  If you are on a TEAM - only one person of the team needs to upload the scanned application packet. https://acsef.zfairs.com

e. Look for the UPLOAD documents button on the left side of the screen. Click and then choose the pdf file & upload.  TEAMS upload ONE application 

f. The system has a lag time of a few minutes so don't expect to see the upload immediately on the screen. Once you see your document on the screen you can safely click the X and log out  

g. Lastly…Email alamedacountysef@gmail.com  when you have uploaded.  We will confirm within 72 hours or less if the uploaded file is complete and approved.  

**You will receive 2 emails from us after the review of paperwork.

1. Notice from the zfairs email system which may go to your SPAM folder so look there for it ScienceFairNoReply@zfairs.com   

2. Notice form our gmail account alamedacountysef@gmail.com with the metaphorical "Golden Ticket" to participate and lots of information to help you prepare for the fair.

We just learned that more than 1 school district will not hold their pre-qualifying science fair until February 11th. So to be fair to all interested students - registration & application upload dates will remain open for ALL county middle and high school students until midnight February 14th.

Important definitions:

Adult Supervisor - This person is generally the teacher but may be another adult who will look over the student application forms, procedure and materials and offer safety advice if necessary. This person may or may not be the person directly overseeing the project

Qualified Scientist - This person is generally the science teacher or another adult who has  experience  and/or a professional degree in the student's area of research and will directly oversee the student research. The QS may designate another adult if he/she will not directly supervise the student. The Designated Supervisor must meet the same criteria for experience or professional degree as the QS and directly oversee the project if nominated by the QS. 

 1. Register 

Teachers - The registration system is set up so that a teacher must be linked to each student.

Home schooled students - their parent/guardian/mentor must register as the teacher.

Public, Private, or Charter school Teachers even if you are not the primary designated project supervisor and will not have first hand oversite of the project you must register.  

Students are not allowed to complete registration until their teacher (or adult mentor) has registered as  the teacher.

*Completed application packet must be UPLOADED in PDF format to student DASHBOARD following the instructions for the packet. SACSEF is not using the fill in dashboard forms this year.

Judges:

Please go to www.acsef.org and open the Judges Tab in the upper menu bar for general information.

If you are volunteering to judge high school projects you must have an advanced degree (Masters or PhD) or a minimum of 5 years experience in the field you select to judge and agree to the Ethics Policies below*.

If you are volunteering to judge middle school projects an advanced degree is recommended but not required providing you have a minimum of 5 years of experience in the field you select to judge or are a high school teacher in the field you select to judge and agree to the Ethics Policies below*.

I agree to act in a positive and ethical manner in which each student encountered is treated fairly and respectfully. Privileged information or ideas that are obtained through my attendance at the fair or volunteer service will be kept confidential by me and I will not use such information or ideas nor disclose such information or ideas to third parties. I understand that any information presented by students is the property of the student and will not be shared or discussed in any manner outside of the project or judging rooms, nor profit made from this information.

 

I agree to hold harmless the Alameda County Science & Engineering Fair Association and their directors, employees, agents, volunteers, sponsors, contributors and contractors against any injury, liability and claims resulting from my participation as a volunteer or judge during the event.


I agree to disclose all conflicts, potential conflicts and perceived conflicts of interest resulting from direct competitive, collaborative or other relationships with any of the students and to recuse myself from specific events/locations/conversations in such circumstances while volunteering or judging.
